PTA General Requirements


To hold an Executive Board position on the Bethel PTA it is recommended that you be available to do the following: *Work a shift at 80% of PTA events *Attend 75% of general membership meetings *Attend executive board meetings *Be the go to man for each event under your title *Lend a hand to chairs under your title during busy times *Serve a two year term

Board Position Parliamentarian
The job of this individual is to attend all meetings and insure that the board follows the correct procedures when voting on issues. Following are some specific guidelines: 1. Make sure the board follows Roberts Rules when approving any item of business. 2. Advise the board on proper organizational procedures.

Board Position Historian
The job of this individual is to document the events of the year. The purpose of this job is to provide a “photo history” for Bethel Elementary. Following are some specific guidelines: 1. Attend events and take pictures. If you can not attend EVERY event you may appoint someone to take pictures for you. 2. Put the pictures together in an album of some type. 3. Collect any newspaper articles involving Bethel Elementary and display them in an album also. 4. The events should be chronicled in chronological order.

Board Position President Elect
The job of this individual is to shadow the president so that he or she can take over the position with ease. In addition, they may take on special projects for the president as needed.

Board Position President
The job of this individual is to oversee all actions of the board. Following are some specific guidelines: 1. Provide leadership for all PTA functions. 2. Explore fundraising opportunities for the next year. 3. Oversee fundraising events. 4. Meet with Principal on a regular basis to keep abreast of the happenings in the school that involve PTA. 5. Do research for large purchases. 6. Sign off on all large purchases. 7. Create agendas for and lead executive board and general membership meetings. 8. Write article for Bethel Bulletin (4 times a year). 9. Participate in the creating of the monthly calendar. 10. Be familiar with all aspects of the PTA. 11. Ensure that yearly awards are completed and submitted by the deadline. 12. Make sure that all dues and membership deadlines are met.

Board Position Secretary
The job of this individual is to take notes at the meetings in order to document what transpired. The secretary provides records documenting each meeting. Following are some specific guidelines: 1. Take notes at general membership and executive board meeting. 2. Type the minutes and present for approval at following meeting. 3. Keep copies of all minutes. 4. Be able to attend executive board and general board meetings.

Board Position VP of Ways and Means
The job of this individual is to oversee the fundraisers that take place at Bethel Elementary. Following are some specific guidelines: 1. Explore fundraising opportunities for the year. 2. With the help of the executive decide on the fundraisers for the year. 3. Find a chairman for each fundraising event for the year. 4. Ensure that each chair understands their job and responsibilities. 5. Touch base with event chairs as the date of their particular event draws near. 6. Help see the tasks through from start to finish. 7. Help out at the peak time of the event when available. 8. In the event that someone can not fulfill their duties, fill in until a replacement can be found. Board Position VP of Services
The job of this individual is to oversee the services that take place at Bethel Elementary. Following are some specific guidelines: 1. Find a chairman for each event that falls under services. 2. Ensure that each chair understands their job and responsibilities. 3. Touch base with event chairs as the date of their particular event draws near. 4. Help see tasks trough from start to finish. 5. Help out at the peak time of the event when available. 6. In the event that someone can not fulfill their duties, fill in until a replacement can be found. Board Position VP of Volunteers
The job of this individual is to manage the volunteers at Bethel Elementary. Following are some specific guidelines: 1. Send out volunteer forms at the beginning of school. 2. Organize volunteer trainings. 3. Take the information from the forms and create a database of volunteers. 4. Send volunteer reports to SCPTA two times a year. 5. Find volunteers for each event at Bethel as needed or as requested by event chairs. 6. Relay by email information that needs to be passed on. 7. Find a chairman for each event that falls under volunteers. Volunteers: Corresponding Secretary 5th Grade Ceremony Teacher Appreciation Name Tag Coordinator Room Parent Coordinator

Board Position – Treasurer
The job of this individual is to handle all aspects of the PTA. Following are some specific guidelines: Prepare and adhere to the budget. Collect money and make deposits. Pay the PTA bills in a timely manner. Create financial statements. Provide money boxes for events that warrant them. Advise the board on financial decisions and how they fit into the budget. >
